Job Description

Reception Administrator
£22,651 per annum
37 hours per week

This is an exciting opportunity to join the Student Engagement Team at Lancaster and Morecambe College. Based primarily at the College’s Main Reception, you will offer excellent customer service and support to visitors, learners, parents, community stakeholders and staff. You will support the team with a range of customer-facing services including; initial advice and guidance, support for resources, student finance and admissions.

You should have relevant experience working in a customer-facing role, preferably with young people in an educational/support setting. You will have excellent communication skills, with an accurate and precise approach to recording information. You should hold a Grade 4/C or above in GCSE Maths and English.

Key Tasks / Responsibilities

The responsibilities of this post include regular evening work and occasional weekend work, for which time off in lieu will be given. Due to the nature of the service, leave cannot be taken during busy periods of induction and enrolment.

The Engagement team has an ethos of close team work and communication, both within the department and across the College. All team members must be willing and able to cover any role within the department, where necessary. 

Job Purpose:

  • To provide a professional service to visitors, staff and students, acting as lead for reception duties, call handling and as a point of contact in emergency situations.
  • To support colleagues in the Student Engagement team by providing a range of general, customer-facing services including; initial advice and guidance, support for resources, student finance and admissions.

Key Tasks / Responsibilities:

  1. Provide a professional, friendly and welcoming service to students, staff and College visitors, through face-to-face contact, telephone and email.
  2. Act as initial point of contact and liaise with emergency services and first aid calls with internal staff.
  3. Provide an efficient mail sorting and distribution service, including internal and external mail, franking, and liaison with staff over cost of mail and small parcels.
  4. Monitor and answer email general email enquiries, and provide initial information on LMC courses.
  5. Support Student engagement colleagues based in the Hex Learning Centre through effective team working and administrative support covering all aspects of their day to day delivery.
  6. Provide an efficient administration service to students regarding Council Tax eligibility letters, looking up timetables, rooms and general enquiries.
  7. Act as initial point of contact, with access to all student personal information, when issues arise from educational visits.
  8. Perform general customer facing duties such as enrolment, cash and card handling, admission, enrolment and financial support enquiries, as and when required.
  9. Support at College-wide open evenings and events, providing general information and advice to prospective learners, parents and visitors.
  10. Ensure prompt and effective problem solving & complaint resolution including progressing the issue to the appropriate manager for resolution as situations arise.
  11. Other duties commensurate with the grade of post, including exam invigilation, as required.

Experience 

Essential - Measured by application form and interview

  • Relevant experience of working in a customer-facing role, preferably with young people in an educational/support setting
  • Cash and card handling
  • Call handling and reception experience (or willingness to learn).

  • Experience of working to quality standards
  • Working with young people individually & in groups

Qualifications

Essential - Measured by application form

  • Qualified to Level 2/3 in administration or customer service, or equivalent experience
  • GCSE Grade 4/C or above in Maths & English (or equivalent Level 2)*

  • IT qualification
  • L2/L4 IAG qualification
  • First Aid
